Modifying Assignment of Organizational Units or Resources

Assign other organizational units or resources to an activity, a lane or a process, remove an assignment or modify the order of the assigned elements.

Inserting More Elements

Prerequisites

The respective link element (activity resource, global task resource, lane resource, process resource) needs to be permitted as an assigned element for the BPMN element (activity, global task, lane, subprocess, process) in the configuration.

Set the resources which can be referenced at the link element.

Context

Resources can be assigned to activities, lanes and processes in a uniform manner.

Link elements are activity resources, global task resources, lane resources or process resources accordingly. You can set both an assignment type, an activity resource and a cost center for the link element.

Links to resources can be shown as edges in the whiteboard diagram; these can then be created with the appropriate configuration.

If resource assignment for a task was modified in the Properties tool window, then the suitable stereotype of an activity resource is determined for each assigned resource and an activity resource is then created with this stereotype and default values.

If this stereotype has a create template with execution rights, then the create template is used for creating the activity resources. Specifications for assignment type and activity resource type can be contained in the create template; these can then be adopted upon creation.

Resource assignment happens in the same way for lanes and processes.

How to proceed

  1. Select the BPMN element you want to change the assignment for.

  2. Select the Resource Assignment property in the Properties window.

  3. Click on Select Element.

    A dialog with assigned elements appears.

  4. Click on Add

    A selection dialog appears.

  5. Select the organizational unit or resource that you want to assign and confirm the selection with OK.

    The selected element appears in the list.

  6. Carry out further modifications if required.

  7. Click on OK

    The dialog closes and the changes are adopted.

Changing the Order of Assigned Elements

Context

The order automatically takes RACI technique (Responsible, Accountable, Consulted, Informed) into account so also depends on the type of assignment; however, the drop-down list order is used. Resorting in the dialog only has an effect within the same type. Resorting occurs automatically if assignment type is changed.

How to proceed

  1. Proceed as described above to open the window with the assigned elements.

  2. Select the element in the list whose position you want to change.

  3. Use the arrow buttons to move the element where you want it.

    The selected element is moved in the list accordingly.

  4. Carry out further modifications if required.

  5. Click on OK

    The dialog closes and the changes are adopted.

Removing Single Assignments

How to proceed

  1. Proceed as described above to open the window with the assigned elements.

  2. Select the element in the list whose assignment you want to remove. You can make a multiple selection by pressing the [Shift] or [Ctrl] keys.

  3. Click on Remove

    The selected element is removed from the list.

  4. Carry out further modifications if required.

  5. Click on OK

    The dialog closes and the changes are adopted.

Removing All Assignments

How to proceed

  1. Select the BPMN element you want to remove the assignment for.

  2. Select the Resource Assignment property in the Properties window.

  3. Click on the Clear Value button.

    All assignments are removed.
